What we collect
When you request a briefing we collect the name, email, organisation, analytics application, and message you submit. When you telephone or visit, we keep the notes needed to schedule and perform the work. During an engagement we may see personal data inside the analytics application you ask us to review (for example user identifiers in debug views). That data remains in your systems unless you export a sample for the discrepancy review.

Why we use it
- To reply to scoping requests and quote an audit.
- To perform the contracted review and send the findings file.
- To invoice, keep engagement records, and meet accounting and tax duties in Malaysia.
- To operate this website and remember cookie choice if you give it.
We rely on your request for a step prior to a contract, on the contract itself, on legitimate interests in running a professional practice, and on legal obligations. Where PDPA consent is required for a specific use, we will ask for it.
Who we share with
We do not sell contact lists. We share data with professional advisers (for example an accountant) and with infrastructure providers that host email or files, only as needed to run the practice. If a matter requires legal advice, we share what counsel needs. We do not use enquiry data to train public models.
Retention
Unsuccessful briefing notes are kept up to 24 months unless you ask us to delete them sooner. Engagement files, including findings, are kept for seven years for professional and tax records, then deleted or anonymised unless a longer legal hold applies.
Transfers
The practice is in Malaysia. Some email or file tools may store copies outside Malaysia. We use providers that offer appropriate contractual protections where that happens.
Your rights
Subject to the Personal Data Protection Act 2010, you may request access to or correction of personal data we hold, and you may limit processing where the Act allows. Write to desk@systemvectorbase.digital or visit the desk during published hours. You may also contact the Personal Data Protection Department of Malaysia if you have a complaint we cannot resolve.
Children
This site and our services are directed at organisations and adult practitioners. We do not knowingly collect data from children.
